What is a Managed AI Agent service?

A managed AI agent is a dedicated digital assistant trained on your business, connected to your tools, and continuously improved by our team. Unlike a one-time automation build, the managed retainer means we monitor it, improve it, and fix problems before you notice them, every single week.

You never touch a token, a model, or a line of code. The agent is yours, the work is ours.

What can an AI agent do for my business?

Every Managed AI Agent retainer includes:

  • A dedicated agent trained on your business: your tone, your workflows, your clients
  • Connections to the tools you already use: email, calendar, CRM, WhatsApp, Slack and more
  • Weekly or fortnightly improvements: new skills, better memory, smarter responses
  • 24/7 monitoring and automatic recovery if anything breaks
  • A simple request board to drop in new tasks, fulfilled within 48 hours
  • Video update reports so you always know what has improved and why

You never touch a token, a model, or a line of code. You just use your agent.

How is this different from a chatbot?

A chatbot answers questions. An AI agent does work. It connects to your CRM, your calendar, your email and your WhatsApp, and takes action automatically when conditions are met.

A chatbot tells a lead you will call them back. Our agents qualify the lead, check your calendar, book the appointment, and send the confirmation, without anyone on your team lifting a finger.

Every tier includes the complete setup: named agent with its own email address, Composio integrations, Obsidian knowledge vault, Trello request board, watchdog monitoring, alert system, weekly improvements and Loom updates. We do not gate these behind higher tiers — they are how we build agents properly.

All prices exclude VAT. Minimum three-month term, then rolling monthly. No exit fees after minimum term.

Less than a part-time hire. Available 24/7.

A part-time admin in the UK costs £15,000 to £20,000 per year and only works set hours. Your AI agent costs from £9,000 per year, works around the clock, never takes leave, and gets better every week. The economics are straightforward once you run the numbers.

Which industries do managed AI agents work best for?

Our agents are currently deployed across estate agencies, law firms, accountancy practices, marketing agencies, insurance brokers, and manufacturers. The common thread is businesses with high volumes of email, enquiries, follow-ups, and admin, and a desire to scale without adding headcount.

  • Estate agencies

Out-of-hours enquiry handling, viewing bookings, WhatsApp responses

  • Law firms

Client follow-ups, document intake, demand letters, case management

  • Accountancy practices

Document sorting, client reminders, self-assessment sequences

  • Marketing agencies

    Reporting, client comms, brief intake

  • Insurance brokers

Renewal reminders, quote follow-ups, client onboarding

  • Manufacturers and wholesalers

Order status, supplier comms, invoice chasing

How long does it take to get an AI agent set up?

Your first agent is live within 48 hours of your onboarding call. We map your workflows on the call, connect your tools, and deploy the agent the same week.

Most clients see time savings in the first seven days and measurable business outcomes by the end of month one.

Frequently asked questions

Frequently asked questions about managed AI agents.

Is my data safe with an AI agent?

Yes. The agent runs on infrastructure you own — your Claude or OpenAI account, your CRM, your email server. We never store your client data on AutomateIn1Day servers. All data stays in tools you already trust, governed by the contracts you already have with those vendors. GDPR is straightforward because nothing leaves your existing perimeter.

Can an AI agent replace a member of staff?

An AI agent replaces tasks, not people. The most common pattern we ship is replacing one specific recurring job — an after-hours receptionist line, a follow-up sequence, a document-filing workflow — that used to consume a person's time. Your team keeps doing the higher-value work the agent cannot do, like judgement calls, sensitive conversations, and relationship building.

What tools does the AI agent connect to?

Anything with an API or webhook. We have built integrations with HubSpot, Pipedrive, Salesforce, Google Workspace, Microsoft 365, WhatsApp Business, Calendly, Cal.com, Xero, QuickBooks, Slack, Microsoft Teams, Notion, Airtable, and 6,000+ other apps via Zapier and Make. If your tool exists and has an API, we can connect to it.

How much does a managed AI agent cost in the UK?

Retainers start at £750 per month plus VAT for one dedicated agent with up to two integrations and monthly improvements. The mid-tier Agent Pro is £1,497 per month and covers up to three agents, unlimited integrations and fortnightly improvements. Agent Enterprise at £2,497 per month adds weekly improvements, a named agent with its own email address, and a quarterly strategy review. All plans require a three-month minimum, then roll monthly.

What happens if the agent gets something wrong?

Every agent has built-in escalation rules. When confidence is low, the topic is out of scope, or a customer asks for a human, the agent stops and hands off cleanly to your team with a clean summary. You also get weekly or fortnightly improvement sessions where we look at real conversations and tune the agent for things it could have handled better.

Can I cancel the retainer?

Yes. After the three-month minimum term, the contract rolls monthly with no exit fee. You give us 30 days' notice and we hand over the agent, the documentation, and any custom integrations to you. You own everything we build.

Do I need any technical knowledge to use this?

No. The whole point of a managed retainer is that you do not touch the model, the prompts, or the integrations. You just use your agent the same way you use your email. We handle every technical decision for you, and report back in plain English in the monthly or fortnightly video updates.

How is this different from a chatbot platform like Intercom or Drift?

A chatbot platform gives you a script editor and a chat widget. A managed AI agent is the actual digital worker: trained on your business, connected to your back-office tools, taking real actions like booking appointments, updating CRM records, and sending follow-up emails. The chatbot tells the customer you will call them back. Our agent qualifies the lead, checks your calendar, books the appointment, and sends the confirmation.
